Accomodation Guidelines

• Log in to the Online Registration Portal to book accommodation.
• Already registered? Add a room via Manage Registration → Edit Registration. 
• Rooms selected directly in the form; rates include breakfast, VAT, local tax, Wi-Fi. 
• Rooms have been pre-reserved for 3/4–6/7 June 2026. If your preferred dates are unavailable, contact us to verify availability with the hotel. 
• First-come, first-served availability.

Confirmation of Reservation  

After submitting a booking, you will receive a notification of request receipt (not a final confirmation). The reservation is confirmed only after payment is received, after which the EELA Event Organizer will send your confirmation and hotel voucher. 

Please do not contact the hotel for confirmation, changes, or cancellation. All reservations are handled exclusively by C-IN. 

Payment Conditions 

Full prepayment in NOK, free of bank charges, is required to guarantee the room. Payment must be made in NOK without bank charges on the hotel side, while any incidental charges (mini-bar, phone, room service, etc.) are paid by the guest at checkout. A credit/debit card guarantee isrequired upon arrival. 

Accommodation fees are collected by CZECH-IN s.r.o., 5. května 65, CZ-14021 Prague 4, Czech Republic. 

Online Payment by Credit/Debit Card 

• The preferred payment method is via our secure online payment gateway, WORLDLINE – Saferpay. 
• Accepted cards: Visa, Visa Electron, MasterCard, American Express.

If your payment is rejected, please check your card settings first (e.g. online payments enabled, sufficient funds, daily limit not exceeded). If everything appears correct and the payment still fails, please contact us. 

Bank Transfer 

Bank transfers are accepted until 14 May 2026 (after this date, only card payments). Include your full name and registration number; payment without these details cannot be processed.

Invoice  

An advance (proforma) invoice can be issued upon request as part of the payment process. The final invoice will be available for download in the Online Registration Portal three weeks after full payment. It will be issued based on the details provided during registration (step: Contact/Invoice details). Any change of such details (name, address, VAT number, etc.) is upon request and it is subject to a 300 NOK fee (including VAT).   

General Cancellation  

• All changes or cancellations must be made in writing via email to C-IN; phone requests are not accepted. Please do not contact the hotel directly. 

• Name changes are possible until 25 May 2026 and incur a 400 NOK administrative fee. 

Please note that, due to the group reservation arranged for the EELA conference, the hotel applies stricter cancellation conditions than for individual bookings. 

Cancellation Conditions

CLARION HOTEL THE HUB, AMERIKALINJEN 

• until 1 April 2026 – a 700 NOK administrative fee will be deducted from the refund 
• from 2 April to 15 April 2026 – 30 % of the total amount will be charged 
• from 16 April to 30 April 2026 – 50 % of the total amount will be charged 
• from 1 May to 15 May 2026 – 70 % of the total amount will be charged 
• from 16 May 2026 – 100 % cancellation fee will be charged

If guests do not comply, the hotel may charge additional costs.
Early check-in or late check-out is subject to availability and may be additionally charged. 

Responsibility 

C-IN is not liable for loss or damage to guests’ property or for any health issues or injuries. Guests are advised to arrange adequate insurance.
