ACCOMMODATION GUIDELINES

Rooms at special rates are being held for the EELA 2022 delegates in the N. J. V. Athens Plaza, Athens Capital Hotel, Saint George Lycabettus Hotel, Elia Ermou Hotel, Amalia Athens Hotel, Crowne Plaza Athens City Centre Hotel, The Modernist, The Golden Age Hotel of Athens, Airotel Stratos Vassilikos. Online hotel reservation is a part of the registration form.

Hotels in the city centre, located around the Syntagma Square

Room rates are indicated in Euro (€) per room/per night based on room category.

Rates are inclusive of breakfast, VAT of 13% and local tax. VAT is subject to change and as a result, room rates may increase in line with any change in applicable tax.

Free Wi-Fi connection is available in all rooms.

Rooms are being allocated on a first come, first serve basis. Timely reservation is highly recommended.

To secure the special rate a reservation via the EELA website and registration system  needs to be done. The actual hotel room can be reserved during the online registration process (alternatively, you can re-enter the online registration form at any stage later to add your hotel booking to your already existing registration).

The online registration is available to registered delegates only.

Payment Conditions

Full prepayment upon reservation is required to guarantee the room. The payment can be made via credit/debit card online or by a bank transfer.

All incidentals/extra charges (mini-bar, phone, room service etc.) must be settled by the guest directly with the hotel upon departure.  The hotel will demand a credit card guarantee from all guests upon arrival.

Payment by Bank Transfer

All payments will be accepted until 2^nd June 2022 only.

Please do not send any payments by bank transfer without the Registration Number and participant’s name included in payment details.

A full payment free of any bank charges must be received by C-IN.

Online Payment by Credit/Debit Card

In case of rejected online credit/debit card payment, the delegate is recommended to log into the Online Registration Form and try to process the booking and the payment again. Should the trouble with the payment persist, the participant is advised to contact the credit/debit card issuer/bank first and check if online transactions are not disabled on the credit/debit card. Afterwards, the booking can be processed again.

Online payments service provider: WORLDLINE

Accepted Credit / Debit Cards:

All online payments are processed via Worldline secure connection. Worldline conforms to international standards, and it meets the strictest safety requirements of the MasterCard SecureCode and Verified by VISA standards as defined by the MasterCard and VISA card associations. These standards are designated as 3D Secure, and they ensure maximum payment security.

Cancellation/ Change of Reservation:

Changes or cancellations must be notified in written form by email to C-IN; requests made by phone call will not be accepted. Please do not contact the hotel directly as reservations are held by C-IN.

In case of later arrival other than reserved, please inform the Secretariat to guarantee the room.

• For cancellation/reduction of reserved room nights until 17^th March 2022, an amount of 80% of cancelled room revenue will be charged.
• In case of cancellation/reduction made from 18^th March 2022 until 17^th May 2022, an amount of 90% of cancelled room revenue will be charged.
• From 18^th May 2022 prior all nights as reserved will be charged and no refund will be made.
• In case of no-show or later arrival or earlier departure, all nights as reserved will be charged.

Athens Capital Hotel – sold out

• For cancellation/reduction of reserved room nights until 17^th March 2022, an amount of 20% of cancelled room revenue will be charged.
• In case of cancellation/reduction made from 18^th March 2022 until 17^th May 2022, an amount of 80% of cancelled room revenue will be charged.
• In case of cancellation/reduction made from 18^th May 2022 until 3^rd June 2022, an amount of 95% of cancelled room revenue will be charged.
• From 4^th June 2022 prior all nights as reserved will be charged and no refund will be made.
• In case of no-show or later arrival or earlier departure, all nights as reserved will be charged.

Saint George Lycabettus Hotel

• For cancellation/reduction of reserved room nights until 15^th March 2022, an amount of 60% of cancelled room revenue will be charged.
• In case of cancellation/reduction made from 16^th March 2022 until 10^th May 2022, an amount of 70% of cancelled room revenue will be charged.
• In case of cancellation/reduction made from 11^th May 2022 until 31^st May 2022, an amount of 80% of cancelled room revenue will be charged.
• In case of cancellation/reduction made from 1^st June 2022 until 10^th June 2022, an amount of 90% of cancelled room revenue will be charged.
• From 11^th June 2022 prior all nights as reserved will be charged and no refund will be made.
• In case of no-show or later arrival or earlier departure, all nights as reserved will be charged.

Elia Ermou Hotel – sold out

• For cancellation/reduction of reserved room nights until 4^th April 2022, an amount of 20% of cancelled room revenue will be charged.
• In case of cancellation/reduction made from 5^th April 2022 until 1^st June 2022, an amount of 80% of cancelled room revenue will be charged.
• From 2^nd June 2022 prior all nights as reserved will be charged and no refund will be made.
• In case of no-show or later arrival or earlier departure, all nights as reserved will be charged.

 Amalia Athens Hotel

• For cancellation/reduction of reserved room nights until 20^th April 2022, an amount of 20% of cancelled room revenue will be charged.
• In case of cancellation/reduction made from 21^st April 2022 until 19^th May 2022, an amount of 75% of cancelled room revenue will be charged.
• In case of cancellation/reduction made from 20^th May 2022 until 3^rd June 2022, an amount of 90% of cancelled room revenue will be charged.
• From 4^th June 2022 prior all nights as reserved will be charged and no refund will be made.
• In case of no-show or later arrival or earlier departure, all nights as reserved will be charged.

Crowne Plaza Athens City Centre Hotel – club rooms – sold out

• For cancellation/reduction of reserved room nights until 23^rd February 2022, an amount of 20% of cancelled room revenue will be charged.
• In case of cancellation/reduction made from 24^th February 2022 until 24^th March 2022, an amount of 90% of cancelled room revenue will be charged.
• In case of cancellation/reduction made from 25^th March 2022 until 17^th May 2022, an amount of 95% of cancelled room revenue will be charged.
• From 18^th May 2022 prior all nights as reserved will be charged and no refund will be made.
• In case of no-show or later arrival or earlier departure, all nights as reserved will be charged.

 The Modernist

• For cancellation/reduction of reserved room nights until 2^nd May 2022, an amount of 20% of cancelled room revenue will be charged.
• From 3^rd May 2022 prior all nights as reserved will be charged and no refund will be made.
• In case of no-show or later arrival or earlier departure, all nights as reserved will be charged.

 The Golden Age Hotel of Athens

• For cancellation/reduction of reserved room nights until 21^st February 2022, an amount of 20% of cancelled room revenue will be charged.
• After 21^st February 2022, the accommodation is only available on request with individual cancellation policy.

Airotel Stratos Vassilikos

• For cancellation/reduction of reserved room nights until 10^th February 2022, an amount of 20% of cancelled room revenue will be charged.
• In case of cancellation/reduction made from 11^th February 2022 until 4^th March 2022, an amount of 80% of cancelled room revenue will be charged.
• In case of cancellation/reduction made from 5^th March 2022 until 21^st April 2022, an amount of 90% of cancelled room revenue will be charged.
• From 22^nd April 2022 prior all nights as reserved will be charged and no refund will be made.
• In case of no-show or later arrival or earlier departure, all nights as reserved will be charged.

Confirmation of Reservation and Final Invoice: 

After completing the hotel booking, the participant will receive a system notification that reservation request was received (please note this is not a confirmation of the room). Confirmation of the hotel booking will be issued only after the payment is received and will be sent by the Secretariat to the participant by email. This confirmation should be presented at the hotel reception upon check-in.

Please do not contact the hotel to obtain your confirmation of accommodation as C-IN keeps your reservation in its database and is the only one responsible for sending such confirmations.

Final invoice will be issued by C-IN only upon request of the participant. The final invoice will be issued based on details provided while registering (step Contact/Invoice details). Any change in billing details (address, VAT number etc.) is possible only within 3 days from the registering date. Later changes will not be possible.

CHECK-IN / CHECK-OUT

Rooms will be available after 3 pm on the day of arrival and shall be vacated before 10 am on the day of departure. If the guest fails to comply with the arrival/departure times, the hotel may charge his/her credit card any additional cost incurred. Early check-in or late check-out is up to room availability and may be additionally charged.

RESPONSIBILITY

C-IN shall not be liable for any loss or damage to property owned by, or in the custody of the guest nor for any health issues or injury occurred to the guest. The guest is advised to arrange adequate insurance covers.
