Registration Guidelines
How to register
- Registrations can be made through the Online Services Portal
- When creating a new account, it’s recommended to use a personal email address (especially if your work email has strict security settings that may block emails from the Organizing Secretariat).
- If you’ve attended a past event, you may already have an account.
- If you are registering another person, you may create an account with your own details and fill in the delegate’s information on the registration form.
- After registering, you will receive a confirmation email with your registration number.

All the above fees include a local VAT of 20 %.
*The Early Registration Fee will be available for the first 130 registered delegates. The Regular Registration Fee will be applied once the Early Registration capacity is filled.
If your payment is not received promptly, the latter fee will be automatically applied. Unpaid or partially paid registrations will not be considered as valid until paid in full.

The Tours selection can be found here and individual tours can be booked during the registration process.
Payment
All fees are to be paid in GBP, free of all bank charges. However, please confirm with your bank as to any possible charges from their side.
Registration fees are collected by the EELA Event Organiser, CZECH-IN s.r.o., 5. května 65, CZ-14021 Prague 4, Czech Republic.
All fees must be paid in British Pound Sterling (GBP) free of all bank charges.
Online Payment by Credit/Debit Card
- The preferred payment method is via our secure online payment gateway, WORLDLINE – Saferpay.
- Accepted cards: Visa, Visa Electron, MasterCard, American Express.
- If payment is rejected, retry your registration or contact your bank.
Bank Transfer
Bank transfers are accepted until 23 May 2025. After this date, only card payments are accepted. If paying by bank transfer, ensure you include your full name and registration number. Payments without these details cannot be processed.

Final Invoice
The final invoice will be available for download from the Online registration portal after the registration is confirmed and paid in full. If you need assistance with the invoice, please contact EELA Event Organiser .
The final invoice will be issued based on the details provided during the registration process (step Invoice details).
Any change of such details (name, address, VAT number, etc.) is possible only within 3 days from the date of registering and is subject to a 20 GBP fee.
Cancellation Conditions
Registration Cancellations
- Until 14 April 2025 – a 50 GBP administrative fee will be applied.
- from 15 April – 5 May 2025 – a 30 % cancellation fee will be applied.
- From 6 May – 22 May 2025 – a 60 % cancellation fee will be applied.
- From 23 May 2025 – a 100 % cancellation fee will be applied.
Tour Cancellations
- Until 15 May 2025 – a 30 GBP administrative fee will be applied.
- From 16 May 2025 – a 100% cancellation fee will be applied.
General Cancellation and Changes Conditions
- All cancellations must be notified in writing form by email to the EELA Event Organiser
- Refund requests made after 22 May 2025 will not be considered
- For any change of name, an administrative fee of 30 GBP will be charged
- Name change is possible until 6 June 2025
- Name change requests made after 6 June 2025 will not be considered
Insurance
The registration fee does not include the participant’s insurance against accidents, sickness, cancellation, theft, property damage or loss. Participants are advised to take out adequate personal insurance.
Cancellation or Modification of the EELA Conference due to Force Majeure
In the event of a force majeure situation, EELA reserves the right to alter or cancel the event without prior notice, including any change of the time and/or congress venue. Any occurrence of a force majeure event shall be communicated as soon as reasonably possible from the decision time. Force majeure includes any circumstance beyond the reasonable control of EELA that prevents or impedes the realization of the meeting. This includes but is not limited to, government action, war or hostilities, riot or civil commotion, plague, or other epidemics such as SARS, bird flu, COVID-19, earthquake, flood, hurricane, cyclone, fire or other natural physical disasters, explosion, accident or breakdown, strike, lack of the usual means of transportation or terrorism.
Data Privacy and Security
The European General Data Protection Regulation (EU GDPR) entered into force on 25 May 2018 and it involves some additions to data protection.
We take your privacy very seriously and to comply with GDPR consent requirements, we need you to confirm that you agree with our new Privacy Policy during the process of creating the account in our system. You can view it here.
After creating your user account in our system, you can manage your information, and protect your privacy and security via our Online Portal which is now fully GDPR compliant.
